Position Overview
We are seeking an experienced Project Coordinator to support the Finance Transformation team in driving operational excellence and organizational efficiency. This hybrid role plays a vital part in coordinating projects, managing workflows, and supporting key business initiatives within a high-visibility transformation environment.
The ideal candidate has hands-on expertise in Smartsheet Control Center, excellent organizational skills, and the ability to manage coordination tasks with senior-level stakeholders. This role requires attention to detail, strong communication, and adaptability in a fast-paced, cross-functional setting.
Key Responsibilities
Smartsheet Control Center Management: Lead setup, maintenance, and enhancement of project workflows, dashboards, and automated reporting.
Project Administration: Coordinate scheduling, manage communications, oversee shared resources (Teams, folders, inbox), and track project deliverables and invoices.
Stakeholder Coordination: Collaborate with internal teams and external partners to ensure smooth project execution and clear communication.
Process Optimization: Identify bottlenecks and inefficiencies, recommend improvements, and assist in process redesign to enhance project outcomes.
Continuous Improvement: Analyze workflows and implement solutions that increase productivity, visibility, and accountability.
Task Management: Prioritize competing demands while maintaining quality and meeting deadlines.
Project Support: Provide administrative and analytical support to the Finance Transformation leadership team and assist with documentation, status tracking, and reporting.
Required Skills & Qualifications
5+ years of experience as a Project Coordinator, Project Administrator, or Project Manager.
Proven expertise with Smartsheet, including Control Center, dashboards, automated workflows, and reporting.
Bachelor’s degree in Business, Finance, or a related field.
Proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook, Word, Project) and Teams.
Strong understanding of project management methodologies and lifecycle processes.
Excellent verbal and written communication skills with senior-level stakeholder experience.
Strong organizational skills, attention to detail, and ability to multitask effectively.
Adaptability and flexibility in ambiguous, fast-paced environments.
Demonstrated analytical and problem-solving skills.
Must be legally authorized to work in the United States without sponsorship.
Preferred Skills & Experience
Experience supporting Finance Transformation, Operations, or Enterprise Program initiatives.
Familiarity with finance-related systems such as SAP, Oracle, Workday, or Anaplan.
Background in process improvement or continuous improvement initiatives.
Work Schedule & Details
Location: Chicago, IL – Hybrid (2–3 days onsite)
Schedule: Monday–Friday, 8:00 AM – 5:00 PM CST
Travel: Rare (reimbursed if required)
